Tag lines by program, grant, department and more

Updated 2026-11-01

Tags are your own ways to slice the books: a program, a grant, a department, a funding source, a region. Add as many tags as you need, and give each one its own values. Values can sit under other values, for example Youth › Summer camp.

Add tags. Go to Settings → Company → Tags. Add a tag, then its values. Cost centers and projects are there too, as the two built-in tags. You manage those on their own pages. Open Tags settings.

Tag a line. Every invoice, estimate, bill, journal entry, expense, deposit and bank line has a small + Tag button. A line holds one value of each tag. The tags a line already has stay in view, so the line stays short. Rent runs, capital calls and payroll entries each take their tags once, for every line they make. A QuickBooks General Ledger import turns its Class and Location columns into tags of the same name.

Require a tag on an account. In Tags settings, under *Required on these accounts*, pick an income or expense account and a tag. A line on that account without the tag is not saved, and the form shows which line needs it. Reversals, imported history and entries Ulix makes itself (payments, transfers, currency revaluation) are not held to the rule.

AI suggestions. When the bookkeeper suggests a category for a bank line, it can also suggest tags. It says why, for example "last time this merchant was booked here it was tagged Program: Youth". Nothing is posted until you accept.

Reports. Open P&L by tag to get one column for each value of any tag. Lines without that tag show under *No …*, so the total always matches the profit and loss. Pick a second tag to get a cross-tab, for example Program × Department. The balance sheet can be split the same way. The profit and loss, balance sheet, general ledger and drill-downs can also be filtered by a tag. The consolidated report can be narrowed to one tag by name, across companies. The QuickBooks export carries your tags as columns.

Change or remove. Rename a tag or a value at any time: every tagged line keeps it. Once a value has been used, you can only archive it. Archiving hides it from forms, and it stays on old lines and in reports. A value no line ever used can be deleted. To change the tags on a posted line, open the line from the journal entry or a report drill-down and edit them in place. Tags never change an amount.
